As part of the Strategic Customer Group (SCG), the Contracts Specialist is experienced in managing contracts, and is responsible for maintaining a high level of customer satisfaction (internal to JJMDC and external accounts) through timely and correct contract management. This includes accountability for responding to customer procurement opportunities and inquiries and providing insight into market trends from a procurement perspective. The scope of this position includes all JJMDC business unit customers within a geographical region of Canada
 
Key Responsibilities
 
  • Processes all types of proposals (RFx) received from internal and external customers.  Focus is group purchasing organizations, acute care accounts and clinics.
  • Processes tenders by proactively coordinating business unit teams to review existing responses for common questions/clauses that can be leveraged from other strategic responses, develop new/targeted responses and recommending responses based on industry knowledge.  Coordination of translation services may be required for some tenders, in addition to providing feedback on phrasing based on industry knowledge and context.
  • Develop phrasing of responses in a manner that will instil customer confidence in JJMDC
  • Ensure that the tenders requirements are met in a compliant manner, final documentation is submitted on time, and retained for easy retrieval according to departmental processes
  • Perform daily search for new tenders, review tender documents and identify significant information for the business
  • Proactively build the relationship with Procurement function for external customers by proactively seeking feedback on current bids, current contracts and customer procurement objectives.  Liase with stakeholders for a collaborative solution.  Provide this knowledge to the Manager for incorporation into market intelligence processes
  • Innovate and lead contracts related process improvements that will create value for the organization. Embraces and uses all new tools and systems as requested by Management.
  • Participates in various initiatives as required by Management

Qualifications
  • Excellent command of the English language
  • Post-secondary degree (BA/BS)
 Required relevant knowledge and experience
  • A minimum of 2 years’ experience in project management, customer facing roles, negotiation or critical analysis or related experience is required.
  • Excellent communication (verbal & written) and problem-solving skills, outstanding collaborative approach;
  • Ability to assess risk and escalate appropriately;
  • Ambitious, self-motivated with the ability to multi-task and effectively manage priorities;
  • Ability to portray professional demeanour through varied communication (email, phone) ;
  • Ability to work under pressure in a dynamic environment;
  • Exceptional attention to detail.
 
Desirable relevant knowledge and experience
  • Proven contracting related experience;
  • Well-developed product knowledge;
  • Proficiency with MS Word, MS Outlook, MS Excel, ERP/business intelligence systems and other desktop applications;
  • Project management skills an asset.
  • Bilingualism in French is strongly preferred
