Johnson & Johnson is recruiting for a Legal Assistant to be based in Maidenhead UK.

Key responsibilities:
  • Provide administrative and paralegal support to the Legal Team for Johnson & Johnson Consumer Health businesses in Northern Europe (UK, Ireland and Nordics).
  • The Legal Assistant will be primarily responsible for the following:
  • Working closely with the Legal Director and Legal Counsel, both based in the UK
  • Supporting promotional marketing activities consumer brands such as Neutrogena®, Calpol®, Nicorette®, Clean & Clear® and Johnson’s®. Reviewing and approving terms and conditions for promotions, competitions and coupons
  • Training and development of business colleagues, for example use of the contracts database (ICD)
  • Management of the Corporate Hospitality and Gifts policy
  • Assisting with amendments to templates including HCP agreements, competition terms and conditions and Influencer agreements
  • Ad hoc support with legal contracts, e.g. creation of Non-Disclosure Agreements using a template
  • To raise the necessary paperwork in a timely manner for the appointment of signatories as a power of attorney and for notarizations
  • Liaise with the Customer Support Team and the company insurers to process legal claims received by the company
  • Management of all POs for legal budget, including liaising with outside counsel regarding invoicing
  • Diary management for two lawyers – pro-active monitoring of calendars, prioritising meetings and rescheduling where necessary
  • Pro-active arrangement and organisation of travel (flights, taxis, hotels) for two lawyers
  • Arrange and support training/meetings – includes taking ownership for creating an annual timetable, arranging meeting rooms and IT equipment, documenting attendance
  • Prepare and submit expenses for the two lawyers using Concur system
  • Prepare and process invoices, including purchase orders, new vendor setup, etc
  • Obtain signatures for legal contract from authorised signatories and follow contract process for inputting contracts onto the ICD system
  • Responsible for all archiving for the Legal Team as Records Co-ordinator
  • Updating Legal SharePoint to ensure templates and company policies are up-to-date
  • Identifying volunteering opportunities for the Legal Team as part of CSR commitment


Desired profile
  • Interest in the consumer healthcare sector and advertising
  • Fluency in English (oral and written)
  • Proficient in Microsoft Outlook, Word, PowerPoint and Excel
  • Understand confidentiality and discretion
  • Part-time opportunity – 20 hours/week (flexibility available for structure of times and days)
Key Skills
  • Strong interpersonal, communication and listening skills. Candidates should be able to manage a busy work-load, be pro-active and exercise good judgment
  • Develop internal relationships across different functions and be confident liaising with senior managers and other members of staff
  • The ability to actively participate in business and legal discussions
  • Ability to find practical solutions and work pro-actively – be curious and want to understand business activities, e.g. how a promotion will be executed in-store; or how a competition will be run on social media, highlight where templates need revision
  • Ability to maintain a high level of integrity and credibility in a fast-paced, highly-matrixed work environment
