The ER/LR Analyst will support timely resolution of ER/LR cases and Labor Relations activities within the region. Duties include triaging of ER/LR requests, administrative support of ER/LR activities and follow-up required to close a case (e.g., interview scheduling, case updates, conducting research & data collection, etc.), ensuring all required documentation are provided and archived. 

The ER/LR Analyst will also take ownership of customer requests and resolve them independently or escalate them to a local ER/LR Professional (ERP) depending on the level of complexity.

Moreover, the ER/LR Analyst will also provide specific ER/LR reports to relevant parties according to legal and/or business requirements.

This role will strive to ensure appropriate resolution of service requests within defined time periods, levels of accuracy and quality standards and customer satisfaction levels. This role treats the workforce with dignity and respect, maintaining high levels of confidentiality, trust and integrity in the handling of sensitive matters. This person adheres to established standards and guidelines.

Case Management

• Access enabling technology to complete employment related inquiries and transactions
• Receive, assign, update, classify, process cases
• Identify if the case will be needing immediate action and/or require escalation to the internal audit
• Define if ERLR Analyst resolution is possible or support from the ERP is required
• Maintain case files completely, timely and accurately. Fully document all cases in case management application as required. Keep personal files up to date as required
• Update the knowledge management system with new available documents or guidelines
• Support Labor Relations activities by assisting meetings preparation

Advise and Coach


• Respond to employment related legal and policy inquiries depending on the complexity levels
• Determine mitigation methods to resolve problems within acceptable timeframes, route or escalate inquiries as appropriate to uphold effective and timely resolution
• Training other HR teams on relevant internal processes and changes in legislation or internal documents

Investigation

• Determine if an elaborate investigation is needed or direct disciplinary actions can be taken.
• Provide investigation support:
o Identify and verify the nature of the allegation
o Conduct research on external, internal policies and regulations related to the cases
o Gather information that further supports the investigation
• Take notes during investigation meetings, interview witnesses to gather or validate information per ERP request, provide interview / meeting minutes, validate interview details and facts

Discipline Management

• Assess the results of the investigation or gather information needed for the implementation of disciplinary measures
• Create documentation of the discipline measures

Performance Management

• Identification of potential performance issue
• Collate performance data & other supporting information and upload as attachments to the case
• Provide advisory support and documentation to Managers and key stakeholders
• Offer support & coaching in the process of PIP administration (ERP supervision if requested)
• Schedule meetings, follow up with managers on tracking PIP progress, constantly monitor PIP progress updates & send follow-ups
• Draft letter notifications and summary reports

Additional Workplace Events


• Provide support in the demotion process, draft the necessary documentation and inform the parties involved
• Provide support in the involuntary termination process, draft the necessary documentation and inform the parties involved
• During Reduction in Force cases, co-ordinate consultation and selection activities with the ERP and create all relevant documentation
• Provide reports and analytics to meet countries’ legal requirements and internal HR business needs when it is relevant

Communication

• Communicate and interact efficiently with customers and team members; develop credibility and build relationships based on mutual respect and trust with customers, supervisors, and team members
• Interact and interface with customers, vendors, service providers, and other third parties as applicable in relation to the activities and dependencies of the role

Daily Improvement

• Develop understanding of Global Services Administration operations and the J&J organization
• Work to meet expected service levels and business performance goals by performing ER Analyst day-to-day delivery of services
• Continuously improve skills, systems knowledge and communications skills
• Identify Employee Relations Administration areas for improvement on daily operational processes. Provide support to implement these initiatives by highlighting and discussing key changes /improvement programs with the ERLR Analyst Team Lead
• Contribute positively to a knowledge sharing environment by documenting and sharing all relevant working experiences with issue resolution to provide database knowledge inputs 
• Check ER/ LR internal data for trends and learnings





Qualifications
• Bachelor's Degree Holder
• At least 2 years of working experience 
• Preferably with any HR Experience (ER experience is an advantage)
• Advanced Excel Knowledge and basic knowledge of other Microsoft office tools
• Ability to perform administrative activities
• Demonstrates customer orientation and customer service skills
• Ability to accurately collect information in order to understand and assess the clients’ needs and situation
• Strong organization skills, attention to detail and follow through to resolve any outstanding issues
• Ability to prioritize workload and provide timely follow-up and resolution. Sense of initiative
• Strong written and verbal communication skills; manages internal communications and external/client communications with detailed support and assistance
• Discretion, professionalism, confidentiality and judgment
• Computer literate with knowledge of common office productivity software and the ability to learn customer service software applications
