Senior HR Administration Specialist with Italian and Spanish/Portuguese

Full-time employment contract

Location: Prague 

J&J GBS in Prague is currently looking for an Italian and Spanish/Portuguese speaking Senior HR Administration Specialist to support our growing HR department. The HR Administration Specialist is responsible for the execution of assigned tasks to support employees, managers and other human resource teams in the Regional Service Center.

You will have the following areas of responsibility:

  • Support managers and employees based in Italy, Spain and Portugal and cooperate with stakeholders
  • Support and back up the team lead
  • Organize workflow and ensure that employees understand their duties or delegated tasks
  • Support the design, development and implementation of global/standardized HR processes with focus on continuous improvement  
  • Set goals for performance and deadlines in ways that comply with company’s plans and vision
  • Monitor employee productivity and provide constructive feedback and coaching/mentoring with focus on people development
  • Provide full advice and support related to all HR Administration activities executed/performed by the team  
  • Contribute to team effort by accomplishing related results as needed
  • Receive complaints and resolve problems
  • Support and coordinate business projects
Main goals and objectives/Deliverables and responsibilities
Team Management
  • Supervise  team members in  their duties and performance, providing feedback  and support where necessary and reporting team strengths and weaknesses to management
  • Motivate, guide, and mentor team members to exceed goals and creates a positive environment
Customer Service
  • Support and advice the team in development of appropriate customer service skills
  • Anticipate the needs of managers and employees, guide and educate them to drive quick resolutions and avoid future problems
Stakeholder Management
  • Partner with broad HR community incl. stakeholders and BUHR to ensure coordination of HR strategies and processes across the organization and develop credibility and mutually trusted relationships
  • Communicate and cooperate with team members and other GS (HR) Teams
Knowledge Management
  • Develop understanding of GS operations and JNJ organization
  • Ensure development and regular update of knowledge base of HR practices, policies and processes
  • Focus on initiatives related to customer centricity (C1) and cooperate with involved teams and parties
  • suggest and plan appropriate trainings considering the development path for the team members in order to improve performance, process acumen and customer approach
Continuous Improvement
  • Identify grey areas for improvement, support the implementation of solutions
  • Actively collaborate with the continuous improvement team and involved parties and stakeholders to deliver efficient and sustainable solutions
Project Coordination
  • Coordinate business project activities which includes meetings, action items, progress tracking, and documentation

  • Minimum high school or secondary education required
  • 3-5 years related experience
  • Fluent in English (a must) and Italian and Spanish or Portuguese
  • Strong written and verbal communication skills
  • Excellent customer service skills
  • Strong organization skills and attention to details
  • Ability to respond to requests on short notice, to manage multiple tasks and meet deadlines
  • Ability to prioritize high-volume workload
  • Outstanding leadership skills
  • Experienced using MS Office, knowledge of Workday and SFDC a big advantage
  • Discretion and confidentiality
  • Ability to work independently and as a part of the team
