Provide a high level of administrative support to VP EMEA Strategy Organization to ensure efficient management and running of the function on a day to day level.
The executive assistant shall handle the transferred duties and responsibilities in a qualified way, act independently and for purpose of the targets of the company and its vision. The facilitated cooperation shall be smooth and the confidentiality.
  • Provides comprehensive administrative and content support; e.g. autonomous and proactive scheduling for the executive (complex and changeable calendar), provision of data and information, preparation of presentations and correspondence, support in scheduling complex travels, expense management and follow up of the budgets and respect deadlines for financial closure.
  • Manage logistics and organization of internal and external meetings and ensure all expectations are met e.g. timings, venue, budget, transport arrangements, health care compliance submissions, etc.
  • Ensures compliance for the executive.
  • Examines incoming requests in advance providing decision-relevant information.
  • Ensures information flow in the absence of the executive.
  • Handle / prepare and archive documents of a highly confidential and sensitive nature.
  • Keeps track of manager’s tasks; ensures managers deadlines to be completed in time; tracks delegated tasks.
  • Responsibility for projects and participation in cross-functional projects and workstreams.
  • Coordinate the onboarding of new employees in the organization.
  • Maintains contact with national and international internal and external stakeholders
  • Acts as communication interface to adjacent areas.

Experience and functional competencies:
  • Proven performer with min. 5 years of experience as executive assistant
  • Ability to exercise good judgement in a variety of situations
  • Strong written and verbal communication, administrative, and organizational skills
  • Ability to maintain realistic balance among multiple priorities
  • Ability to work under pressure
  • Manage a wide variety of activities and confidential matters with discretion
  • Self-motivated, highly organized, detail and people-oriented, adept at juggling multiple deadlines/tasks, and extremely customer service focused.
  • Strong Microsoft Office skills
  • Organization, time management, travel logistics
  • Proficiency in English
  • Knowledge of other languages is an asset
  • Must feel comfortable to work in and communicate with a cross regional, cross cultural team
  • Awareness of and adherence to J&J Credo Values, SOPs, Policies and Guidelines
