Management Assistant (m/w), Communications & Public Affairs Janssen EMEA


Purpose of position:


Provide a high level of administrative support to VP Communications & Public Affairs and to the Leader Regional Communications & Public Affairs at Janssen EMEA to ensure efficient management and running of the function on a day to day level.


The executive assistant shall handle the transferred duties and responsibilities in a qualified way, act independently and for purpose of the targets of the company and its vision. The facilitated cooperation shall be smooth and the confidentiality.


Responsibilities (Essential Functions):

 

  • Provides comprehensive administrative and content support; e.g. autonomous and proactive scheduling for the executive, provision of data and information, preparation of presentations and correspondence.
  • Ensures compliance for the executive.
  • Examines incoming requests in advance providing decision-relevant information.
  • Ensures information flow in the absence of the executive.
  • Keeps track of manager’s tasks; ensures managers deadlines to be completed in time; tracks delegated tasks.
  • Responsibility for projects and participation in cross-functional projects and workstreams.
  • Maintains contact with national and international internal and external stakeholders
  • Acts as communication interface to adjacent areas. 

Qualifications
  • Proven performer with min. 5+ years of experience as management/executive assistant   
  • ability to exercise good judgement in a variety of situations
  • strong written and verbal communication, administrative, and organizational skills
  • ability to maintain realistic balance among multiple priorities
  • ability to work under pressure
  • manage a wide variety of activities and confidential matters with discretion
  • self-motivated, highly organized, detail and people-oriented, adept at juggling multiple deadlines/tasks, and extremely customer service focused.
  • Microsoft Office skills
  • organization, time management, travel logistics
  • proficiency in English
