Location: Tallinn
Full-time permanent contract
General overview of the role:
Event specialist coordinates planning and organizes logistics, administration and documentation for all types of customer events, in collaboration with Event Requestor in MAF, Commercial or External Affairs. This includes promotional events, medical education events, educational support, advisory boards, consultations, sponsorships, patient organization events and patient organization support.
As Event Specialist, you will have the following areas of responsibility:
  • Support country brand teams in setting up their annual activity plan.
  • Set up and drive event intake to align on event concept, content and learning objectives, target audience, event communication strategy, logistics and digital options, vendors, speakers and event faculty where needed.
  • Handle all administration for customer events in related systems.
  • Handle all contacts to Amex and other external event organizers, and organize logistics in line with event plan and budget.
  • Handle event related contacts with attendees and speakers.
  • Develop event materials in collaboration with Event Requestor, external agency, faculty and speakers.
  • Align regularly with Event Requestor/brand team on progress of event preparations.
  • Retain relevant event information and documentation (electronic or hard copy).
  • Collect feedback and coordinate evaluation of events, and provide brand teams with analysis and recommendations for continuous improvement.

Qualifications and experience of the successful candidate:
  • Previous similar administrative working experience in travel agency or event organization.
  • Native level Estonian and advanced level of English (both spoken and written).
  • Good technical skills (strong user of IT systems, basic understanding of virtual meeting techniques).
  • Basic knowledge of payment processes and tax requirements.
  • Strong knowledge of rules and regulations for customer events.
  • Proactive and independent way of working.
  • Strong communication and collaborative skills.
  • Ability to work and respect tight deadlines and have strong attention to details.
  • Ability to solve problems quickly as well as think proactively.
