Team Assistant EMEA Communications and Public Affairs (m/w)


Tasks & responsibilities:
  • Provides a wide range of secretarial and administrative support to the Leader and the managers in the EMEA Stakeholder Engagement team. 
  • Provides administrative support in areas of communication, scheduling appointments, confidential correspondence, file management, travel arrangement and expense reports and so on. 
  • Maintains (team) calendar(s) and arranges meetings. 
  • Takes initiative to follow up on relevant issues and informs manager of status as well.
  • Provides relevant staff with reminders of upcoming events and projected related deadlines. 
  • Coordinates, prepares and edits reports and presentations. 
  • Handles confidential matters requiring discretion and judgment. Greets vendors and visitors. 
  • Fulfill administrative requirements related to onboarding of contractors.
  • Support the internal & external communications team as the owner of distribution lists, with the set-up of webcasts.
  • Monitor the Janssen EMEA mailbox according to the J&J policies. 
  • Facilitate and leverage the External Advisory Board to build stakeholder trust & advocacy: support in terms of logistics (venue and flights) and administration (contracts & payments).
  • Budget handling (quote, PO, payments) and rigorous annual budget planning with special attention for quarterly closes. 
  • Connecting and collaborating with the admins of other business leaders in EMEA.

The variety in tasks means that you will have to work in a pro-active and efficient manner in a changing and virtual environment.


Qualifications

·         Minimum 5 years of experience in a similar senior administrative position 

·         Highly proficient in spoken and written English

·         Experience with working in an international/virtual team

·         Good organizational skills and ability to effectively manage different priorities

·         The ability to complete multiple tasks, and handle information in a confidential manner is a must 

·         Accurate / Proactive / Analytical / Punctual / Discrete /Stress-resistant

·         Team player who's able to work autonomously and remotely

·         Good knowledge of Excel, Outlook, Sharepoint, J&J systems (Concur, iConnect, …)
