ADMINISTRATIVE ASSISTANT
Location: Prague
Full-time temporary contract for 12 months
 
General overview of the role:
Administrative Assistant provides a wide range of administrative support and special tasks and project based on decision of manager. Duties include various activities such as organization of internal meetings, individual travel arrangements, processing specific orders and payments, internal and external communication, correspondence processing, office management, archiving, and other tasks as agreed with functional manager.
 
As Administrative Assistant, you will have the following areas of responsibility:
  • Providing administrative support to functional managers.
  • Arranging the internal on-site and off-site meetings (team meetings, trainings etc.).
  • Supporting non-standard requests for individual travel including the arrangement of participation on different external meetings, seminars and trainings.
  • Performing End to End Indirect Procurement flow in Ariba, Lynx, Cornerstone for departmental and office purchases.
  • Supporting of the Market Access team in the area of Public Tenders.
  • Managing general incoming correspondence, internal and external communication.
  • Is responsible for specific part of office management (office and other supplies, business cards etc.).
  • Is responsible for file management, retention and archiving of internal documents.
  • Handling confidential matters requiring discretion and judgment.

Qualifications
Qualifications and experience of the successful candidate:
  • Previous similar administrative/customer service related experience of minimum 1 year.
  • Native level of Czech or Slovak and advanced level of English.
  • Knowledge of MS Office on good level (Outlook, Word, Excel).
  • Collaborative and team player attitude (used to cooperate on daily basis with external stakeholders and various internal teams).
  • Ability to work and respect tight deadlines and have strong attention to details.
  • Ability to solve problems quickly as well as think proactively.
