Role responsibilities

Support HEMAR staff members to successfully fulfil their functional role within Janssen-Cilag UK, in order to achieve its business objectives

Main responsibilities
  • Make travel arrangements including hotels/flights/car parking/itineraries
  • Check statements/receipts and apply expenses via gXRS/Concur for approval by Managing Director (Directors only).
  • Organise and follow-up ZINC review of relevant HEMAR materials as requested by other HEMAR staff members
  • Review ZINC job list on a monthly basis and monitor which jobs need to be withdrawn or re-approved liaising with the relevant HEMAR team member(s)

  • Ensure that all contracts are signed and returned to Janssen prior to any iConnect event taking place
  • Assist with any administrative tasks associated with an HTA submission
  • Track HTA advices and recommendations to keep HTA record database updated
  • Produce a weekly HTA Newsletter for HEMAR team and amalgamate this information to produce a monthly HTA Newsletter to the Management Committee
  • Raise and follow-up on purchase orders (PO), incl development of PO request forms
  • Arrange meetings including catering/visitornet
  • Take minutes of monthly HEMAR team meetings
  • Maintain good working relationships and mutual trust with field based employees, extended teams and other business units.
  • Build and maintain good working relationships and mutual trust with external customers, represent company with a professional attitude (in particular with co-promotion companies and contract sales force companies)
  • Welcome new members of staff/students into the business unit and provide support as and when required (e.g. Zinc, iConnect, etc.).
  • Specific projects (as agreed)
  • Project manage delivery of own work streams ensuring high quality projects are delivered on time


Experience and Qualifications

  • Understanding of ABPI Code of Practice
  • Administrative experience
  • Organisational and communication skills
  • Good use of Microsoft Office
