The Administrative Assistant III will be  responsibile for  providing administrative support to 2 marketing directors, providing departmental administrative, logistic and project support.  Incumbent  is required to exercise sound judgment and discretion, independently assess and resolve complex situations, and flexibility to respond to shifting priorities.  This position reports directly to the marketing director, performs duties and tasks under the direction of the marketing directors.   This job may involve occasional travel not exceeding 10% of the time.
 
Essential Functions:
  •  Requires responding in place of directors on routine and complex matters
  • Demonstrate flexibility while maintaining the sense of urgency and working intensity that the office requires.
  • Under minimal supervision, incumbent performs advanced secretarial and administrative responsibilities, i.e.:
    • Compose correspondence based on knowledge of directors’ intentions
    • Prepares documents of a confidential and sensitive nature
    • Maintains complex and changeable calendars
    • Arranges meetings and travel arrangements / itineraries
  • Excellent oral and written communication skills including note taking during meetings and composing correspondence. 
  • Jobholder is required to exercise sound judgment and discretion, independently assess and resolve complex situations, and flexibility to respond to shifting priorities. 
  • Incumbent must possess and demonstrate strong ability with personal computers working with Microsoft office programs (Word, Excel, PowerPoint, Outlook, Concur, etc.) is required
  • Executes rigorous follow-up by ensuring issues are resolved and projects completed
     
Provide logistical and process support for the marketing teams
  • Departmental budget tracking include SAP submitting and follow through
  • Coordinate budget reports from marketing teams and finance for review
  • Act as marketing team coordinator for training
  • Process customer inquiries submitted on the web into marketing
  • Support marketing material and communication channels, such as marketing material warehouse inventory reporting and monitoring,
  • Manage org chart, department email lists and support team meetings
  • Coordinate team calendars

Qualifications
  • Minimum of a high school diploma is required
  • Associates Degree or CPS preferred
  • A minimum of five (5) years’ related work experience required, healthcare industry experience preferred.
  • Incumbent must possess and demonstrate strong ability with personal computers working with Microsoft office programs and J&J software applications (Word, Excel, PowerPoint, Outlook, Concur, etc.) is required
  • This position will be located in Santa Ana, California
