BUSINESS SUPPORT COORDINATOR in Madrid

Mission of the Role:

Provide general admin support to the business units & departments in the Organization.  Execute and innovate on highly complex and multifaceted administrative and clerical business assignments. Manage various spreadsheets and online resources. Assist in developing and maintaining innovative sales tools and programs. Provide administrative assistance as needed with a polished professional manner and highly developed communications skills. Look proactively for ways to assist others and to contribute.

Position Duties and Responsibilities:

These include but are not limited to the following functions: Mainly, to execute and innovate complex and varied administrative assignments on behalf of business. Also:

  • Assist in developing and maintaining innovative payments & reporting tools and programs.
  • Provide administrative assistance as needed with a polished professional manner and highly developed communications skills.
  • Responsible for creating purchase orders and payments requests either Health Care Professionals or Commercial suppliers in accordance with budgetary guidelines and policies.
  • Provide routine and non-routine reports by request. Compile data when needed. Verify, coordinate, and manage various spreadsheets, documents, reports, and online resources.
  • Investigate and resolve payment issues related either to Health Care Professionals or Commercial suppliers.
  • Management of different types of contracts (HCC Related / Capital Equipment…) based on templates and the use of digital signatures through Adobe eSign.
  • Meet the demand for creation of HCPs self-receipt with Digital signature.
  • Build and maintain spreadsheets with the payment situation for business where the main KPI´s.
  • Provide monthly accruals reports to the financial department.
  • Consult on function specific policies and procedures.
  • Review and analyze data accuracy. 
  • Accountability for making decisions based on Financial & HCBI policies.
  • Active participation in working sessions with the main stakeholders and raise awareness in data accuracy.
  • Samples: follow up to ensure sample availability meets shipment deadlines. Generates standard reports related to sample activity.
  • Give proposals to improve processes and activities.
  • Look proactively for ways to assist others and contribute with them.
  • Prepare communications, presentations, custom reports, quota assignments, and other documents for sales administration management when vital.

Kualifikasi

Role Qualifications:

Essential

  • University Degree or Equivalent
  • Microsoft Office 365 – Excel (advanced)
  • Fluent in the English language

Desirable

  • Microsoft Office 365:  knowledge of Power APP, Power Automate and others are desirable.
  • Previous experience in managing payments to suppliers and with accounting systems.
  • Demonstrated experience in dealing with Health Care Professionals.
  • Previous experience in Health & Medical Devices Sector.
  • Demonstrate versatility in functions, identifying improvements and implementation of corrective measures.
  • Used to working with multidisciplinary teams & faced multitasking.
